Thank you for considering joining the Ravenwood Faire.  Please read the following information carefully, as this will answer many of your questions regarding the faire and the registration process. We look forward to working with you and making this the first of many successful events.

Sites
Sites are reserved for event weekend October 26th through 27th (10 a.m. – 7 p.m.), $150 per 12′ x 12′ space, $350 per 24′ x 24′ space. (see map for site locations).  Early bird discounts of 20% will be applied to sites reserved by August 15th.  Contact sales@ravenwoodfaire.us for multisite discounts or for general questions.

Products sold to Ravenwood Faire patrons must be handcrafted and fit the medieval and renaissance theme (1200-1700 AD). We discourage imported or mass produced items. All applications will be reviewed and you will be notified of our decision.

Food products must be of high quality. Food vendors must comply with health department rules and regulations and provide a current copy of food permits.  Vendors are asked to provide a current copy of liability insurance with Ravenwood Foundation as additional insured.

All food service utensils (napkins, plates, cups, etc,) must be biodegradable or recyclable, no Styrofoam allowed.

Your booth must be attended at all times. Having an assistant is encouraged to give you breaks. All participants must be listed on the participant form for security check-in and have a signed release agreement for our records.

Ravenwood Foundation is not responsible for loss due to weather, theft, etc.; your vendor application will require acknowledgment of this with signature.

Being able to accept and credit/debit cards is encouraged and will make it easier to sell your wares. However, not required. Make sure you have cash on hand to make change for cash transactions.

Vendors will provide their own tent, booth, cart, tables, chairs and décor. Vendors must provide and maintain one fire extinguisher per booth (5-10lbs, 20 lbs for booths with flame/fire). Please indicate utility requests on your application.

Tent, temporary booth or cart décor must fit the festival theme. Contemporary table and chairs legs must be covered completely. Plastic or contemporary storage containers must be kept out of sight.

All staff and vendor participants are required to wear attire to fit the faire medieval and renaissance theme (approximately 1200-1700 AC).  All weapons must be peace tied.

Vendors will have access to the Frederick County Fairgrounds at 250 Fairground Rd, Clear Brook VA 22624 for site(s) setup on Friday October 25 2019 between 3:00PM and 6:30PM.  Vendors will also be permitted access to the Faire grounds for additional setup needs during these times:

  • Saturday October 26th 2019 between 7:30AM and 9:30AM
  • Sunday October 27th 2019 between 7:30AM and 9:30AM

Unless special arrangements have been agreed to in advance, no Vendor shall be permitted setup outside these posted times.  Vendors are responsible for furnishing, erecting, securing and ensuring conformance with Vendor Guidelines within the posted times.  Vendor Committee appointees will be onsite during the posted times to coordinate setup activities and ensure ongoing compliance with Vendor Guidelines.  Any special accessibility needs, site(s) requirements or access times should be documented by you in this application for consideration.

Reserved vendor parking will be provided in an adjoining lot.  Reserved parking is limited to two (2) vehicles per site.  Additional parking, if required, will be on first come first serve basis.

Vendors must have at least one representative operating their approved site(s) at all times the event is open to the public.  No vehicles will be permitted within the grounds outside the designated load-in and load-out times posted.
